Short answer
A hose maintenance plan starts with a record that identifies each hose assembly. Location of use, service conditions, inspections and replacement decisions must be tracked together. A universal maintenance plan that applies the same calendar interval to every hose is not reliable.
Recommended hose record card
| Section | Example fields |
|---|---|
| Identification | Serial number, product and connection designation, supply source |
| Application | Location, equipment, fluid, service conditions |
| History | Dates of assembly, inspection, incidents and changes |
| Decision | Service status, responsible person, justification, next inspection |

The record should preserve the reasoning behind a decision
An inspection result is not recorded simply as "good" or "bad". In the structure we propose, the observation, photo reference, the person who carried out the inspection and the decision are separate fields. This makes it possible to go back to the history of the same hose assembly when a problem recurs.

How do we handle intervals?
Swagelok presents a maintenance plan approach based on a monitored life cycle and protocols. A fixed inspection or replacement period cannot be derived from the scope of the publicly available standard. Intervals to be determined by manufacturer instructions, facility procedures and risk assessment will be kept together with their approval source.

Minimum workflow of a maintenance plan
- Give each physical hose assembly in the field a unique and legible identification.
- Track the history of use, inspections, incidents and replacements from installation to removal.
- Link inspection and replacement protocols to the application risk and the manufacturer's instructions.
- Regularly review failure and replacement data for trends by product, line and cause.
- Record a spare plan with verified identification and suitability for critical lines.
- Do not assume a universal calendar interval; keep the source of the decision and the person responsible.
Frequently asked questions
Do all hoses need to be replaced every year?
There is no universal replacement interval; the interval is documented based on the application risk, the manufacturer's instructions and an authorized facility decision.

What is a serial number for?
In the proposed record structure, it links the inspection and decision history to a single physical hose assembly.
